Audiovisual equipment

Audiovisual (AV) equipment and technical support constitute the single largest expense of the annual meeting. AFS strives to balance the need to support presenters with the need to keep registration rates as low as possible by providing only essential AV services.

AFS provides basic internet in all meeting rooms, and some AV equipment upon request during the proposal process. Those sessions that require additional A/V support should communicate that as part of the proposal submission.

Presenters who wish to show video are advised to bring their video file on their own personal computer or storage device to ensure there are no disruptions during media streaming.

Presenters may request data projectors and/or speakers when they submit their proposals; all requests will be considered but are not guaranteed. AFS will schedule panels in meeting rooms that are equipped accordingly. All presenters must bring their own computers, and Mac users should bring the appropriate adapters for their particular model. If you are participating in an organized session, please inform your chair of your equipment needs as well. Equipment specifications are linked to the current Annual Meeting page or available upon request.

Individuals who can’t bring their own computers are advised to coordinate with other members of their panel to share equipment.

Orientation: When you first sign in to your account, you will land on your Participant Dashboard. Look under Events for the program and general information about the conference. For help with signing in or orienting yourself to the Dashboard, see Introduction to the Fourwaves User Dashboard below.

Plan your agenda: As you view the details of sessions or papers, bookmark them by clicking on the “add to my agenda” button. To find your customized agenda, click on the Program in the main menu, then look for the “My Agenda” tab next to the default “All” display option above the search bar.

Searching: When you search on a term or name in the Program search bar, you won’t see all the “hits” at once, but look out for the small number in a circle that displays on the tiles for each day of the program. That is the number of results for that term on each day. Click on the day to see the search results.

Get more help from Fourwaves: See the Introduction to the Virtual Platform for more about how to log in, use the Lobby, view the program, join poster sessions, message participants, and read announcements. It’s a simple guide that walks attendees through the main parts of the virtual event platform.

Scope: This recently developed product from Fourwaves that is dedicated to navigating the program schedule on the go on iOS or Android; it does not include all the meeting information (eg, FAQ and General Information) that can be viewed on the Conference Platform using a web browser.

It includes:

  • The full program, by day and by track, searchable by keyword or speaker.

  • A personal agenda: attendees bookmark sessions and presentations in two taps.

  • The list of presentations with their abstract and materials: posters, slides, images and videos.

  • The participant list, with names, affiliations, bios and photos.

  • Works offline: program, agenda and abstracts stay available in a venue without wifi, then resync when the connection returns.

  • The mobile app also syncs automatically with the event program, sessions, and registrations, so attendees will see the latest event information in the app.

Get the App: Download the free app in your app store.

Log in: Use the Fourwaves credentials that you defined when you created an account to make a submission or create a registration. If you don’t remember your credentials, try resetting your password.

Find the Program: What you see when you first open the app will depend on your past activity in Fourwaves. The app is designed to manage all of your 4W interaction, including your submissions, if any. When you first sign in, the app will land on the Participant Dashboard where you will see your past 4W activity.

Find Your Agenda: Your Fourwaves profile will add your bookmarked events to your personalized agenda, and remember it across both the Conference Platform and the app. To find it in the App, go to Program and look for the “My Agenda” tab at the top of the page.

Browse Presentations:

  • In the Program view, when you click on any session, look at the top of the screen for two separate tabs: Info and Presentations. The Info tab contains information about the session as a whole; click on Presentations to see details about the individual papers or presentations in the session.

  • Alternatively, go to More/Presentations in the bottom menu to search or browse individual papers (unavoidably sorted by submission number).

Your profile should connect to presentations & events in which you are presenting and vice-versa. If it does not, the Annual Meeting team can take a quick look and tell you what we think the error may be, but we cannot edit your profile page. You are the only person who can access it, via your log in.

Important tip: If you add a url to your profile, do not add the protocol (https://). It is built into the system and duplicating it will create a link failure.

When you enter your presentation data into the Fourwaves website, Fourwaves does NOT take ownership of your data; they are only processing it to:

— communicate with you;

— operate the platform;

— perform some other specific purposes like maintenance and security.

Fourwaves stores the data it is processing in Canada on AWS (Amazon), and everything is encrypted using the best practices in the industry.
