CAG/CARTO Conference 2026 - Code of Conduct 

The CAG/CARTO Annual Meeting organizers are committed to maintaining a safe, inclusive, respectful and informed interactions among all participants at the CAG/CARTO Annual Meeting. 

This code of conduct applies to of all activities (in-person or virtual) that are organized as part of the CAG/CARTO Annual Meeting on Lək̓ʷəŋən territory (Victoria BC), and pertains to interactions with all participants including, but not limited to: attendees, speakers, staff, service providers, vendors, sponsors, guests, and members of the University of Vitoria community. Your registration for and/or attendance at this event certifies you agree to abide by this code of conduct.  

This code of conduct was developed by CAG/CARTO Annual Meeting Organizing Committee, with some material adapted from the Canadian Association of Geographers (CAG) Statement on Collegial Conduct and Respectful Exchange and Statement on Equity, Diversity, Inclusion and Accessibility.  

The activities of geographers are wide-ranging, as are the contexts in which we learn, research, teach, exchange, and engage with the world. This code of conduct is not intended to cover all of the ethical considerations confronted by geographers in their diverse professional practices. As such, we encourage participants to draw from standards and guidelines outlined by the professional communities and research enterprises relevant to their research fields (e.g., University and Tri-Council standards for research with human and animal subjects, The World Health Organization Ethical Standards and Procedures for research with human beings, etc.). 

Expected Behaviour  

All participants must treat others with dignity, respect a diversity of perspectives, and communicate respectfully in person, in writing, and online.  

Respect does not mean everyone must agree and we encourage open discussion while reminding participants to be mindful of bias, discrimination and power imbalances. Please help create a supportive environment especially for students, early-career researchers, and members of underrepresented groups.   

Commitment to Equity, Diversity, Inclusion and Accessibility (EDIA) 

All participants must support equity, diversity, inclusion, and accessibility efforts. All participants are expected to contribute to a welcoming environment, be mindful of existing inequities, and maintain inclusive interactions throughout the conference.  

Efforts to foster environments free of discrimination include providing support to those affected by harassment. Participants are encouraged to notify conference staff of any harassment or discrimination. 

Professional Responsibilities and Participant Guidelines  

All authors listed on a presentation or abstract must agree to the submission.  

All speakers are responsible for the content of their presentations. CAG/CARTO organizers request that speakers be cognizant of potentially offensive actions, language, or imagery, and that they consider the necessity of such content to convey their message. Speakers must warn the audience at the beginning of the presentation if this type of content is included.  

Photography, Recording and Use of Materials 

Photography, videography or audio recording of presentations or posters without the explicit permission of the presenter is not allowed. 

Unacceptable Behaviour 

Harassment of others in any form (online, in-person, or indirectly) is strictly prohibited.  

This includes, but is not limited to: physical or verbal abuse, unwelcome or offensive comments, exclusionary behaviour, inappropriate physical contact, unwelcome sexual advances (including gratuitous or off-topic explicit images), intentional misgendering (e.g., not using a person’s preferred pronouns), bullying, cyberbullying, intimidation, stalking, following, sustained disruption of conference events, posting or threatening to post people’s personally identifying information, retaliation for reporting unacceptable behaviour, and encouraging or supporting any of these actions. 

Unacceptable behaviour explained as attempted humour or disguised as humour also constitutes unacceptable behaviour.  

Impairment due to alcohol, cannabis, or illegal substances will not be tolerated, and is not an excuse for unacceptable behaviour.  

Reporting Concerns or Filing Complaints 

To report a concern of file a complaint, please notify an event organizer in person or email the CAG/CARTO Organizing Committee at CAG2026@uvic.ca 

Consequences 

Participants will be asked to stop harassing behaviour immediately, and are expected to comply with de-escalation procedures as directed by event organizers. 

 The CAG/CARTO Organizing Committee reserves the right to remove an individual from the CAG/CARTO 2026 conference without warning or refund.  

Threats to Safety and Medical Emergencies 

Anyone experiencing or witnessing behaviour that poses an immediate threat to personal or public safety should call 911 and notify UVic Campus Security immediately. 

In the event of a medical emergency, call 911 and notify UVic Campus Security.
