Registration Information
The registration portal has been open since February 26th, 2024 and will close May 17th, 2024.
Please read the following information carefully.
Travelling to Sydney, Nova Scotia, Canada:
If you are planning on flying domestically or internationally, it is our advice to fly into Toronto, Ontario or Montreal, Quebec and then catch a connecting flight into the JA Douglas McCurdy Sydney Airport (YQY) in Sydney, NS, Canada. Air Canada is the only airline providing service in Sydney, NS.
Some people may choose to fly into Halifax, NS, Canada, and then drive to Sydney, NS. To be clear, this is a five-hour drive and can be challenging in certain areas, given single-lane roads, potential construction and weather.
Cape Breton is considered a rural location. Taxi and local bus services are available, but they can be in high demand and not always reliable. It can also be difficult to reserve a rental car and then have it available when you want to pick it up.
In the registration portal, we ask you to identify how you are travelling into the Sydney area, so that we can have enough coach buses available to shuttle people between the primary hotel (see below) and the CBU campus during the conference. We are also trying to determine if we need a shuttle bus to drive participants to/from the airport to the hotel.
Main Conference sites:
The opening day activities (June 17th) and closing dinner (June 19th) will occur at the Membertou Conference Centre.
The main conference days, June 18th-20th, will occur at Cape Breton University, on the main campus.
Hotel:
We have secured a block of 120 hotel rooms at the Hampton Inn by Hilton Sydney. You must book your room no later than May 17th, 2024, to benefit from the preferential rate of $189/night + taxes. Please use "Cape Breton University Conference" to be eligible for this preferential rate. You will need to call the hotel to book your reservation using this preferential code.
Other hotels are available in the area, including The Simon Hotel Sydney and the Holiday Inn Hotel in Sydney.
Additional Events:
We are presently organizing excursions and specific local events for June 17th, 2024.
Further information and registration for these events will follow shortly.
Currency and Payment: All dollar amounts appearing on this website are in Canadian currency.
Credit card payments will be accepted only via the Fourwaves website. No other forms of registration payments will be accepted.
Registration types:
If you plan to attend the conference in-person in Cape Breton, Nova Scotia, you should select ONSITE Registration.
If you have a submission that is accepted for the onsite streams (i.e., stream # 1, 2, 6, 9, 11, 12, 13, 14, and 15), at least one person must register for the ONSITE option by the deadline of May 17th, 2024. Conference Budget Information:
The conference organizers wish to share with potential registrants that despite their efforts to be awarded grants or sponsorships, they have been, for the most part, unsuccessful. Sponsorship has been secured for a 2SLGBTQ+ event that will occur onsite during the conference and for some limited additional subsidies ($200) for Indigenous students and students and caregivers in financial need.
The conference budget is constructed in such a way as to break even.
Cautionary Note:
If you are NOT a student, and you purchase the student registration rate, the difference between the student rate and the full regular registration amount will be charged to your credit card along with an additional administrative fee of $50, plus applicable credit card and Stripe service fees and taxes.
Proof of Student Status:
Proof of student status (i.e., Undergraduate, Masters, or PhD/Doctoral Student or Candidate) must be uploaded to the site to be able to benefit from this subsidized rate. This can be a student ID card, with appropriate dates displayed (e.g. 2023-2024), a copy of the student transcript, etc. The Fourwaves GWO 2024 website adheres to Canadian Privacy legislation and practices, that have been approved by the university's Privacy Officer. This student status document information will only be accessible and seen by the two co-chairs of the conference.

The GWO 2024 Organizing Committee has been able to secure limited subsidies ($200) for Indigenous students, who choose to self-identify, students and caregivers in financial need who will be attending the conference in-person.
The GWO 2024 Organizing Committee will carefully consider each application and will notify successful applicants on a rolling basis until all subsidies have been allocated. A registration reimbursement of $200 will be provided via the Fourwaves system. Only submissions made in the Fourwaves system will be considered for these subsidies.
To apply for either subsidy, you must choose the appropriate response (i.e., Yes/No).
If you select Yes to either subsidy, a box will appear allowing you to upload a letter to formally request the subsidy. You may apply for one or both subsidies.
For Indigenous students and students' subsidies, the following information is required:
1. Full name
2. Identify if you are an Indigenous student or not.
3. Level of study (i.e., undergraduate, Masters, etc.)
4. Student status (i.e., in good standing, all tuition and student fees at university are paid, etc.)
5. Clearly identify the financial need for this student subsidy (i.e., limited funds available to travel to Cape Breton, lack of scholarship or grant opportunities to cover attendance at the conference, etc.)
For the caregiver subsidy, the following information is required:
1. Full name
2. Identify if you are an Indigenous person or not.
3. Identify your caregiver responsibilities (i.e., children, dependent partner, dependent family or community member, etc.)
4. Identify financial need for this caregiver subsidy (i.e., limited funds available to travel to Cape Breton, etc.)
If you select no to either question, the respective box for the letter application will not appear, and you will not be able to upload a letter for either subsidy.
To receive a registration confirmation email, you must register and pay the appropriate registration fees.
For those requiring a letter of invitation to participate onsite at the conference, in Cape Breton, Nova Scotia, Canada, you must select the appropriate radio button (Yes/No) under the "Do you require a letter of invitation?" when registering in the portal. The GWO 2024 organizing committee will then create a personalized letter which you can use along with the Fourwaves confirmation email and the attached payment receipt as proof of your intention to participate onsite and to apply for your visitor visa.
Please note that the GWO 2024 organizing committee has no visibility into potential delays in being awarded a visitor visa. Please contact the appropriate consulate or embassy for further information.
If you are unsuccessful in being granted a visitor visa, we can reimburse your registration fees up until and including May 17th, 2024. Unfortunately, we must charge an administrative fee of $50 to cover the expenses incurred in reimbursing these fees.
Please communicate with the organizing committee at the GWO2024@cbu.ca email address to request a reimbursement if you are unsuccessful with your visa request.
