SUBMITTING YOUR APPLICATION

The submission can be made in French or in English. Please pay particular attention to the quality of the writing.

The scholarship application must be sent before the deadline via the online form (Submission tab). Make sure you receive an acknowledgment of receipt when submitting the form to confirm submission of the file. It is the student’s responsibility to ensure they receive confirmation of submission. The Research Department disclaims all responsibility in the event of a problem with the delivery of the file. If the file is not received before the deadline, it will not be evaluated. No updates to the file will be accepted after the deadline.

The Research Center reserves the right to reject any incomplete file.

The form includes the following sections:

Description of the research project (max. 1500 words)
Text describing the research project for which the scholarship is requested by specifying, in order: 1. Research rationale and hypotheses, 2. Research objectives, 3. Experimental design and methods, 4. Feasibility 5. Impact of research and contributions to the advancement of knowledge, 6. A maximum of 6 bibliographical references.
🏆The research project must be described in a way that is understandable to someone who is not an expert in your field. The hypothesis is often forgotten.

 

Skills and experiences (max. 750 words)
Description of the participation in research projects and training courses during the previous studies. Identify: Project and internship director, location of the internship, start and end dates, number of hours per week, total number of hours for each internship, specify whether the internship is mandatory or optional.
🏆Make the work of evaluators easier by using paragraph breaks between each stage.

Motivation letter (MSc and PhD: max 750 words. Postdoc: max 1200 words)
Letter of motivation describing the research interests, the scientific career objectives, the justification of the chosen place for training (lab, program, institution, etc.) and the link between the training already acquired and the one proposed. Postdoctoral fellows must include a detailed carrer plan. 
🏆Explain the reasons behind your choice of research center, laboratory/supervisor. Saying that you wanted to study in Montreal because you love the city does not constitute an adequate justification.

Leadership and implication (max. 300 words)
Description of the student's involvement in various committees or associations, volunteering and other relevant extracurricular activities demonstrating the student's leadership.
🏆Don't leave this section empty! The experiences may have been acquired in the academic or non-academic field.

Instructions:
The file (1) submitted must include two documents: 
- The FRQS funding version of the Canadian Common CV (CVC), updated but not submitted.
- List of detailed contributions (publications and presentations; proof of reception of submitted articles and publisher notifications of articles accepted for publication). The impact factors of every publication must be clearly indicated. This list can be generated as a Word document and added at the end of the CVC.

Mandatory for: master’s and doctoral candidates.

Instructions:
- Unofficial transcripts are accepted.
- For MSc candidates: baccalaureate transcript (or equivalent) and transcript of studies in progress.
- For PhD candidates: transcript of bachelor's degree or medical studies (MD) and MSc or PhD (or equivalent) and transcript of studies in progress.
- For candidates pursuing postdoctoral medical studies: transcript of medical doctorate (or equivalent) and transcripts of studies in progress.
- For postdoctoral fellows: No transcript is required.
- For studies outside of North America, include a document explaining the grading system in effect at the institution, and any other relevant information ensuring the appropriate evaluation of the application (group average, rank, etc.).

Mandatory for: Students who include in the application file a transcript for studies done elsewhere than in North America.

Instructions:
- Please provide proof of obtaining all prizes and/or scholarships that are indicated in the summary table.
- If you have not received any prize or scholarship, you do not have to submit any document.

Mandatory for : MSc and PhD students who started at the summer term of the current year or before.

Instructions:
- Submit proof of admission to your study program.
- For people starting in a later term, proof of admission must be provided before the scholarship is activated.

Mandatory for: All

Instructions:
- Please provide acknowledgments of receipt of submitted publications and/or publisher's notifications of accepted articles for all submitted but unpublished publications indicated in the summary table.
- Articles in preparation are not taken into account.
- If you do not have a publication to date, you do not have to submit a document.

Mandatory for: all people who started their training at CR-CHUSJ in March 2024 or before.

Instructions
- Submit the completed Research Center scientific conference attendance sheet (minimum 12 confirmations of participation).
- Confirmations of participation in conferences must be dated no more than 12 months ago at the time of submission.
- A person recruited less than one year before the application must have the number of attendance prorated (1 per month, at the time of submission).
- A person beginning a research project in a later term does not have to submit this document.
*** 2024-2025 competition: The attendance sheets having been officially put in place in January 2024, candidates must have at least 4 confirmations of attendance when submitting their application.

If the sheet is incompleted, the candidate must provide a letter of justification from their supervisor.

Instructions
- Submit 2 proof of applications for scholarships from external organizations worth more than $10,000 (copies of letters or emails of submission, approvals and/or refusals from the organizations).
- If you have not applied to at least two external scholarships at the moment of application and are recipients of the Foundation's Scholarship, you will have to submit the proof by December 1st of the current year.

Instructions:
- Maximum half a page.
- People who want to benefit from exceptional measures must provide justification in this section. Examples of exceptions: parental leave, sick leave, disability or other circumstances beyond the student's control that have caused a delay in academic progress or inequity.
- Relevant supporting documents may be added following this document, if necessary. 

Evaluation

Each application will be reviewed by three evaluators. The applications will be assigned randomly among the reviewers in each group, and each reviewer will evaluate approximately 15 applications.

The evaluation committees are composed of active, associate or invited researchers as well as postdoctoral fellows (for the evaluation of the MSc and PhD candidates only) from the CHUSJ-RC.

The reviewers are not necessarily specialists in the field of research of the applicants they are evaluating, therefore research projects must be written in such a way as to be accessible to researchers from different fields of research.

The candidate will be evaluated according to criteria such as academic performance, previous experience in research, publications, presentations, the expected orientation of career, the impact of the project, and the choice of laboratory for scientific training.

Recruitment Scholarships: Recruitment scholarships will be awarded to eligible students with the highest scores, until funds are exhausted. A student cannot obtain a recruitment scholarship if he or she obtained an excellence scholarship as part of this competition for the same year.

Precision Health Scholarship: The application will be evaluated within the framework of both competitions by the same jury. The best candidates will be selected for the Precision Health scholarship (one scholarship per category). Other applications received may obtain a scholarship from the CHU Sainte-Justine Foundation if they have evaluation results above the funding threshold.
