Visa Information: Travelling to Canada

If you require a visa, we strongly recommend that you begin the application process as soon as possible, as lengthy processing times are not uncommon.

International delegates are responsible for ensuring compliance with Canadian entry and immigration regulations. Requirements differ depending on the traveller’s country of citizenship and mode of travel.

When completing your conference registration, please indicate “Yes” in response to the question: “Do you need a letter of support for your visa application to enter Canada?”

Travel Documents
A valid passport is required for entry into Canada. Passports should remain valid for the duration of your stay and your return travel.

Visa and Electronic Travel Authorization (eTA)

  • Visa-required nationals must obtain a temporary resident visa (visitor visa) prior to travel.

  • Visa-exempt nationals arriving by air must secure an Electronic Travel Authorization (eTA) before boarding their flight.

  • U.S. citizens and U.S. lawful permanent residents do not require a visa or eTA, but must carry appropriate identification and proof of status.

Letters of Invitation
Registered delegates who require a visa may request an official letter of invitation from the conference secretariat. This letter is intended solely to support the visa application process and does not imply financial support or a guarantee of entry into Canada.

To obtain your Invitation letter, you must register and fill the required information. After receiving the full payment of your registration, we will forward you a copy of the letter, including the special event code that you will need to apply. Please note that no invitation letters will be sent without the full registration payment.

  • This letter will only help to facilitate the application process: it will not automatically grant you a visa.

  • Your application will undergo the same scrutiny as any other application.

  • If your work or research studies do not link you directly to the subject of this conference, you have a 99% chance that the yisa will be declined.

Additional Information
Participants are strongly encouraged to verify the most current entry requirements and estimated processing times well in advance of travel. Up-to-date information is available on the Government of Canada Immigration and Citizenship website

Please submit your visa application as well as your request for biometrics as quickly as possible. To better coordinate your request, send your Immigration Canada application number to the Congress Secretariat. This number can be found in the acknowledgement of receipt letter that is sent by Immigration Canada to the applicant after they apply. It will start with a V and will be followed by 9 digits (ex. V123456789). This will allow us to submit a valid attendee list to immigration services. This is not an automatic acceptance. You are responsible for submitting all the proper documentation for analysis.
