Practical information for symposia/workshops
The submission form accommodates both symposium/workshop proposals and individual presentation proposals (oral or poster).
Remember, you can revise your responses later by returning to the form. This means you can initially submit only a workshop/symposium proposal and later add a presentation submission if desired.
Submission period for workshops and symposia: Nov 15th, 2024, to Jan 31st, 2025 at 4pm.
Workshops, symposia, and field trips may be proposed by self-organized groups. If your workshop or symposium is supported by a CSEE Standing Committee or Section, make sure to indicate the name of the Committee/Section on the proposal form.
Each symposium should fill either a 90- or 180-minute period, that is either six or twelve 15-minute presentations, so that people can easily move between concurrent sessions. A self-organized symposium may have up to two 30-minute talks. Workshops can be 1-2 hours; 1/2 day (3-4 hr); or full day (6-8 hr).
All symposia must take place in-person. However, we will consider proposals for workshops that would be effective or benefit from a virtual environment or facilitate access to people who would be unlikely to attend otherwise.
Before submitting a proposal, organizers must contact all speakers and any other essential participants to confirm their willingness to participate to the symposium or workshop. The online form must include the names and tentative talk titles for all speakers. All speakers should register for the conference by the early-bird deadline. Should some invited speakers be unable to attend, or not register by the early-bird deadline, the LOC reserves the right to replace them with contributed talks that appear relevant to the theme of the symposium.
Most workshops will take place on the first meeting day, although some (e.g., short lunchtime workshops) may take place on other meeting days. Conversely, symposia will take place during concurrent sessions.
Note that workshops that are of a commercial nature (profiling a product) will be considered differently than academic workshops, and we ask proponents to declare the purpose of the workshop on the form. Commercial workshops will be considered to be sponsored workshops and we will correspond separately with proponents of those sessions.
The Local Organizing Committee (LOC) reserves the right to add related contributed presentations to certain symposia (to ensure a complete block of 90 minutes), or to plan a contributed paper session that complements a symposium.
The LOC expects symposium organizers to explicitly state how their topic and the selection of speakers enhances inclusion, representation, decolonization, and the furthering of diverse perspectives at the meeting or in our discipline. We encourage submissions by early-career researchers.
When possible, consider ways to broaden the taxonomic focus of the symposium or workshop.
Review criteria
1. The importance and originality of the proposed topic (15 points);
2. The diversity of speakers according to the Equity, Diversity, and Inclusion (EDI) criteria of the CSEE (15 points);
3. Diversity regarding career stages, universities of origin of the speakers, as well as the number of speakers. Must have a minimum of four speakers who have confirmed their intent to participate when submitting the proposal (15 points);
4. The competence and experience of the organizer in the organization of scientific conferences (5 points)
