Presentation Guidelines

General Considerations

Presenters should consider whether saving their presentation as a PDF makes sense to ensure cross-platform compatibility. This will be particularly important for Mac users who do not have access to Windows to test their presentation in advance.
The resolution of LCD projectors in session rooms is 1024x768 96dpi. Any presentation created at a higher resolution will automatically be scaled down to fit.

Videos: PC Users

INMM does not recommend the use of movies in your presentation.

However, if you really must use movies in your presentation, it is imperative that you check your movies before presenting. Please be observant of the size of your video files. A video file can be just as effective at a lower resolution.

We can only accept movies that have been created with standard compression codecs that are in use by Windows. Save your files as AVI’s or WMV’s only, using the following codecs:

Mpeg 1
Mpeg 2
MS Mpeg 4
Divx 3/4/5
Xvid
Windows Media Video (WMV)

Pictures

JPEG images are the preferred file format for inserted images.
Images inserted into PowerPoint are embedded into the presentation. Images that are created at a dpi setting higher than 96 dpi are not necessary and will only increase the size of your presentation.
Try to avoid overloading your presentation with unnecessary images.

Fonts

We can only supply fonts that are included in the base installation of Windows.
The fonts we suggest using are Times New Roman, Arial and Tahoma.
Any font other than these will need to be embedded into your PowerPoint presentation. Use of fonts not included in Windows can lead to words that bleed into graphics or bullets which may be the wrong style.
Microsoft provides a utility that can tell you if a font can be embedded. It is located at the following link: http://www.microsoft.com/typography/property/property.htm?fname=%20&fsize

You can embed the fonts into your presentation by following these steps:

Office 2003
Click File, and then Save As.
On the Tools drop down menu select Save Options
At the bottom of the menu you will see an Embed TrueType Fonts check box. Check the box.
Please check the ‘Embed All Characters’ box

Office 2007

In PowerPoint, click the Windows Office logo in the upper left corner
Choose PowerPoint Options
Click the ‘Save’ tab on the left
Click the ‘Embed Fonts in the File’ checkbox
Click the ‘Embed All Characters’ radio button

Office 2013

In PowerPoint, click the File Tab
Choose Options
Click the ‘Save’ tab on the left
Click the ‘Embed Fonts in the File’ checkbox
Click the ‘Embed All Characters’ radio button

Users of Apple Computers

If you are producing your presentation on an Apple computer please be aware of the following issues.

Movies

Use QuickTime MOV files only if Macintosh computers are supplied at the conference.
QuickTime is not native to Windows computers. PowerPoint only supports QuickTime movies up to version 2.5 - anything beyond that will not play in Windows PowerPoint.
To insure the best chance of success on a PC, create your movies as AVI files. Movies saved as AVI’s have the best chance of success on a Windows machine.
You can convert your movies to the mpeg format in QuickTime Pro.
Use Cinepak for compression instead of Sorenson.

Images:

Use common image formats that are cross platform such as JPG, PNG, GIF, and BMP.
Do not use PIC or JPG2000 graphics in your Power Point.
Please insert all images into PowerPoint using ‘Insert’ ‘Graphic’, ‘From File’. Do not use copy and paste.

Fonts

Many custom MAC fonts will not translate to a Windows PC correctly.
Use common cross platform fonts such as Times New Roman, Arial and Courier.

General PowerPoint Tips

The graphics you project on the screen to support the spoken word should help clarify ideas, emphasize key points, show relationships, and provide the visual information your audience needs to understand your message.
Presentations should be created in a 16x9 format
Plan a template
Use colors consistently
Use light colored fonts on a dark colored background
Use fewer colors rather than more - no more than 6
Your visual elements communicate more than the information for your presentation; they are part of your style, your flair and should personify part of your personality. Make them clear, make them readable and make them interesting. It will pay off in the long run and ensure that each presentation you make is your best.
