CanFly is a biennial Drosophila research conference that brings together the Canadian Drosophila research community to foster collaboration and scientific excellence

The CanFly 2023 Organizing Committee values all attendees and wants to make an inclusive experience that is productive and inspiring. To promote this goal, we developed a Code of Conduct based on a similar code created by CanFly 2021 organizing committee and the Genetics Society of America.

The CanFly 2023 Organizing committee is:

Drs Jamie Kramer, Lori Borgal, Francesca Di Cara, Nicanor Gonzalez-Morales, Steve Jean, Nicolas Pichaud and Deniz Top.

The CanFly 2023 Organizing Committee wants to maintain a professional setting to allow the open communication of ideas. This Code of Conduct will help convey a transparent set of standards and guidelines for acceptable behaviour at the 2023 CanFly Conference and provide an inclusive, safe, and welcoming environment for all attendees, vendors, volunteers, and staff.

It is mandatory that all conference participants (regardless of their role) follow the Code of Conduct while attending any portion of the conference, including but not limited to live Q&A sessions, and all conference-related social media and networking. Because of the hybrid nature of the conference, our Code of Conduct extends to communications related to the meeting and its attendees, presenters, sponsors, and staff.

Unacceptable Behaviors

Unacceptable behaviours include, but are not limited to:

· Intimidating, harassing, abusive, discriminatory, derogatory, or demeaning speech or actions by any participant at all related events

· Harmful or prejudicial verbal or written comments or visual images related to gender, gender expression, gender identity, marital status, sexual orientation, race, religion, political orientation, socioeconomic, disability or ability status, or other personal characteristics, including those protected by law

· Inappropriate use of nudity and/or sexual images (including presentation slides and posters)

· Deliberate intimidation or stalking

· Sustained disruption of scientific sessions or other events

· Unwelcome and uninvited attention or contact

· Real or implied threat of physical harm

· Real or implied threat of professional or financial damage or harm

· Photographing or reproducing slides of oral presentations and posters without permission

· Recording of scientific and other sessions without permission

Taking action or making a report

A complaint can be filed by contacting any members of the CanFly 2023 Organizing Committee (canfly2023@gmail.com).

Consequences of non-compliance

If any CanFly 2023 Organizing Committee, a Session Chair, Moderator, Presenter, or anyone ask to stop unacceptable behaviour, the person is expected to comply immediately. Retaliation toward the members of the CanFly 2023 Organizing committee will not be tolerated and may result in additional sanctions. The consequences of non-compliance with CanFly 2023’s Code of Conduct may include:

· Removal from accessing the meeting

· Non-compliance will be reported to future CanFly meeting organizers

· Restrictions from future CanFly meeting attendance

· A formal letter detailing the events and actions of the non-compliant individual will be sent to the individual host institution.

Diversity and Inclusion

CanFly 2023 is committed to promoting an inclusive and welcoming environment. We support all sexual orientations and gender identities, racial and ethnic backgrounds, physical ability, and other groups. The Organizing Committee aims to select speakers and session chairs that represent the breadth and diversity of the discipline and conference participants. An EDI workshop will take place on June 13th to promote EDI values within the Canadian drosophila community.

Social Media/Photo/Video Policy

Live tweeting of presentations is allowed unless the speaker explicitly opts out by stating so at the start of their talk. Without the presenter’s consent, taking or sharing photos, videos, or reproductions of posters is not permitted.

Please note that the poster materials at the conference are typically works in progress. We expect all the poster attendees to not cite or reproduce any part of them without the presenter's permission.
