ICOP2024 Code of Conduct

All participants, including but not limited to, attendees, speakers, volunteers, exhibitors, Management and staff, service providers, and others (hereafter referred to as “all participants”) are expected to abide by this Code of Conduct whether they are attending in person or online. This Code of Conduct applies to all ICOP 2024 events, including those sponsored by organisations other than ICOP but held in conjunction with ICOP events, in public or private facilities.


Expected Behaviour

  • All participants will be treated with respect and consideration, valuing a diversity of views and opinions.
  • Communicate openly with respect for others, critiquing ideas and not individuals.
  • Leave room for all participants to actively participate, ensuring that a diversity of participants have the opportunity to express themselves, and avoiding conversations dominated by a single participant.
  • Be mindful of conference etiquette; respect scheduling and direction from the ICOP organising team.
  • Alert ICOP Staff/Volunteer/organiser if you notice a dangerous situation or someone in distress.
  • Respect the rules and policies of event venues, hotels, and facilities.
  • In the online conference platform, communicate with respect and consideration, and report any inappropriate interactions/comments/posts immediately.
  • Report any concerns regarding the conference or participant behaviour/statements.

Unacceptable Behaviour

  • Harassment, intimidation, or discrimination in any form will not be tolerated.
  • Physical or verbal abuse including personal attacks and criticism.
  • Use of social or mainstream media to target individual participants in person or online that could be harmful to their privacy and or reputation.
  • Recording or photographing another participant’s presentation materials without explicit permission.
  • Disruption of presentations or meetings.
  • Making false or misleading statements or engaging in activities that could be viewed as offensive by the ICOP organising committee.
  • Any sharing of propaganda, unwanted solicitous behaviour or other violation of participants' physical, mental, or emotional space.

Reporting and Consequences

Online

· Report any misconduct immediately through Fourwaves Support (support@fourwaves.com),

and CC icop2024@canadianpermafrostassoicaiton.ca.

In Person

· Report any misconduct either to a conference Volunteer, Staff, or Organiser
or email to Lukas Arenson at icop2024@canadianpermafrostassoicaiton.ca.

· Anyone requested to stop unacceptable behaviour is expected to comply immediately.

· ICOP staff, security, or designate may take any action deemed necessary and appropriate, including immediate removal from the meeting (in person or online) without warning or refund.

· ICOP reserves the right to prohibit attendance at any future meeting.
